1. Who We Are
MedHub is an in-house clinical management system developed by Alexia Technology Sdn Bhd for Hospital Kuala Lumpur, Orthopaedic Surgery. It is operated under the supervision of Dr Shawn Peh and Dr Amanda Chan.
2. What Data We Collect
MedHub collects and stores the following patient data for the purpose of clinical care:
- Patient name and identification number (IC / Passport)
- Date of birth, gender, contact number
- Clinical diagnosis, management plan, clinical notes
- Operation notes, medication records, investigation results
- Wound and imaging photographs uploaded by clinical staff
- Ward, bed, and admission details
3. How We Protect Your Data
All patient data is protected in accordance with the Personal Data Protection Act 2010 (PDPA) Malaysia:
- IC numbers are masked in all displays and hashed (SHA-256) in audit logs
- All data is transmitted over encrypted HTTPS connections (TLS 1.3)
- Data is stored on secured servers and never shared with third parties
- Role-based access control ensures staff only access data relevant to their clinical role
- Every access and modification is logged with timestamp and user identity
4. Who Can Access Your Data
Only authorised clinical staff of Hospital Kuala Lumpur with a valid MedHub account may access patient records. Access is granted by the system administrator and revoked immediately upon change of post or termination.
5. AI Features
MedHub may use AI-powered features (AI Clinical Summary, conflict detection, differential diagnosis suggestions) powered by Anthropic's Claude API. When AI features are enabled, de-identified clinical summaries are sent to the API for processing. No patient IC numbers, full names, or contact details are included in AI requests. AI features can be disabled by the administrator at any time.
6. Data Retention
Patient records are retained in accordance with the Malaysian Ministry of Health guidelines for medical record retention. Clinical notes and audit logs are preserved for a minimum of 7 years.
7. Your Rights
Patients have the right to request access to their own records. Requests should be directed to the Medical Records Department, Hospital Kuala Lumpur.
